Find only, approvals, queued sends, and follow-ups

Understand Find only, message approvals and why a queued follow-up may still be waiting.

Written by Umer Arif

Finding a lead, preparing a message, approving it and sending it are separate steps. A message can be ready in one way and still be waiting for another check.

Choose whether the agent sends outreach

Open the agent’s Settings > Autonomy. Choose the mode and approval policy, then select Save changes.

  • Find only collects leads without automated outreach.

  • Find and outreach also runs your saved sequence.

Choose what needs approval

  • Approve first step only requires review of the first step.

  • Approve every step requires review of each step.

  • Send automatically does not wait for manual approval of each step.

When review is required, open the agent’s Approve tab. Read the draft before approving it.

Approval does not mean immediate sending. It allows the step to continue when the rest of its checks pass.

Why an approved or queued message waits

The agent must be active. The sending account must be healthy. Sending hours, sequence conditions, waits and the relevant account allowance must also permit the action.

Search, profile checks, invitations and proactive messages use different allowances. All agents on an account share them. A daily allowance is a ceiling, not a promise to send that many messages.

A first draft may need time to prepare. The earliest preparation time is not a promised sending time.

Read the sequence

Open Sequence > Open workflow builder. Check both paths and the timing labels.

The saved sequence controls follow-ups and waits.

The saved sequence controls follow-ups and waits. Sample data shown.

  • Connection accepted checks whether the prospect accepted. Its Yes path can continue after acceptance. Its No path can continue when the acceptance window ends.

  • Wait before sending delays a message before it becomes ready. Sending rules still apply afterwards.

  • Starts immediately means no workflow delay before the first step. It does not bypass other checks. Use Add start delay to insert a Wait step.

Change the connection-acceptance window

  1. Select Connection accepted.

  2. In Step details, edit Wait up to.

  3. Choose Hours, Days or Weeks, or use the 1 hour, 1 day or 1 week preset.

  4. Edit the amount if you want a different duration. Custom edits can be from 1 hour to 60 days.

  5. Save the workflow when ready.

This example gives the prospect up to six hours to accept.

Changing only the unit keeps the same duration. For example, 14 days becomes 2 weeks. Change the amount or choose a preset to change the duration.

The clock starts when a lead enters the condition. Saving a new duration does not restart that clock or check the lead immediately. The changed workflow is used at the next eligible scheduled check.

Other waits are separate

Message delays and Wait steps use minutes, hours or days. You can edit them in Step details or through their timing pill.

A timing label on the connection into a Wait step changes that Wait step. It does not add another wait.

There is no fixed one-day delay or universal follow-up count. Your saved sequence controls them.

If you change the wording

Step guidance and formatting affect new AI drafts. They do not rewrite messages already saved or approved. Pause the agent before major changes and review its affected leads and approvals.

When someone replies

A prospect’s reply stops automated sequence follow-ups. Use Inbox to respond manually, or review the separate Autopilot replies settings.

See the sequence builder guide for more editing options.
